This privacy policy describes how Alphabees UG (beschränkte Haftung) processes personal data when you use our AI tutoring platform or our website. It explains what data we collect, for what purposes, and on which legal basis — as well as your rights regarding your data.

2. What data we process

We process only the data necessary to provide, operate, and improve our service. The following table gives an overview of the categories of data processed:

Important note:We do not store chat histories long-term. Content is automatically deleted within 15 minutes after the session ends.

3. Purpose and legal basis of processing

Your data is processed only on a legal basis. The following table shows the purposes and the applicable legal basis:

4. No persistent processing by AI

Your data (e.g., chat histories, documents) is transmitted to AI models (e.g., OpenAI, Fireworks, Google) only temporarily and in pseudonymized form — and only when you actively start an interaction. There is no further processing or training of AI models based on your content. Your data is not used to train AI models.

5. Storage and deletion

We store your data only as long as necessary for the respective purpose or as required by statutory retention periods:

Until contract termination or the expiry of statutory retention periods
Chat data, IP addresses
Automatically deleted at the latest 15 minutes after inactivity
Uploaded files
Temporarily stored and encrypted on AWS S3 (EU data centers only)

6. Use of service providers (processor)

We use GDPR-compliant processors. We have DPAs with all service providers under Art. 28 GDPR. If processing occurs outside the EU, we use standard contractual clauses under Art. 46 GDPR.

7. Cookies and tracking

We use cookies only to the extent necessary, e.g., for login features and language settings. We do not use tracking cookies for advertising. More information is available in our Cookie Policy.

8. Sharing of data

Your personal data is not sold. It is shared only in the following cases:

  • To contractually bound service providers as part of data processing
  • If required by law (e.g., by authority order)
  • With your explicit consent

Before you interact with our AI tutor, we clearly inform you about the use of artificial intelligence. Responses are generated by AI systems and do not replace professional advice. We strive to meet the requirements of the EU AI Act.

12. International data transfers

If data is processed in third countries (e.g., the USA), it is done only with appropriate safeguards such as EU standard contractual clauses under Art. 46 GDPR.

13. Privacy for children

Our services are not directed to children under 13. We do not knowingly collect data from minors. If you believe data has been stored inadvertently, please contact us immediately.

14. Changes

This privacy policy is updated regularly to reflect legal, technical, or organizational changes. The current version is always available on our website.

Yes. The Alphabees AI Tutor is GDPR‑compliant and built to meet EU AI Act requirements. We store no personal data and don’t use your data to train models. A GDPR‑compliant data processing agreement (DPA) exists between Alphabees and each AI provider, and we sign a DPA with every customer as well. In line with the EU AI Act, the tutor is used as a supportive learning tool, clearly labeled as AI via a disclaimer banner, and does not make automated decisions with legal or performance consequences.
Yes. Alphabees is the only AI tutor that also works inside the Moodle Mobile App. With our dedicated plugin, learners can use the full AI assistance on the go, right inside their Moodle courses.
